How to write a steel wire RFQ: a checklist for procurement teams

How to write a steel wire RFQ: a checklist for procurement teams

Why most steel wire RFQs are too vague

The typical steel wire RFQ says ‘cold-drawn wire, Ø3.0 mm, 10 tonnes’. That is not enough information to quote accurately or to compare suppliers fairly. A serious RFQ specifies grade, tensile range and scatter, surface finish, tolerance, packaging, documentation, delivery term, and lead-time expectation.

The tighter your RFQ, the more honest the quotes you receive.

The nine fields every steel wire RFQ should include

1. Steel grade (SAE, EN or DIN designation). 2.

Diameter and tolerance. 3. Tensile range or condition (as-drawn, annealed, inter-anneal).

4. Surface finish. 5.

Coil format and weight. 6. Quantity per delivery and total annual estimate.

7. Delivery Incoterm and destination. 8.

Documentation required (3.1, PPAP, additional). 9. Preferred lead time and delivery flexibility.

Send ourquote desk these nine and expect a serious response.

Grade specification: SAE vs EN vs DIN

Different regions use different grade designations. SAE 1008 is broadly equivalent to EN C8D or DIN 1.0035 for low-carbon wire, but small chemistry differences matter for downstream process. If you have a specific downstream customer who demands a specific designation, state it explicitly.

If not, state your tensile and elongation targets and let the supplier propose the grade.

Tolerance: state what you actually need

Diameter tolerance is often the field buyers under-specify. Standard EN 10218 tolerance is usually adequate for construction wire. Fastener and automotive applications typically need tighter (±0.02–0.05 mm).

Do not over-specify — you pay for tolerance whether you need it or not.

Packaging and documentation clarity

Specify coil format, weight per coil, and packaging integrity requirements (VCI paper, sealed bags, wooden crates). For documentation, state whether EN 10204 3.1 is required, whether PPAP-equivalent documentation is needed, and whether A.TR (EU) or Certificate of Origin (US) accompanies the shipment.

Frequently asked questions

Do you supply EN 10204 3.1 inspection certificates by default?

Yes. Every export shipment travels with an EN 10204 3.1 inspection certificate showing chemistry, tensile properties and dimensional data for the actual heat. This is our default, not a paid add-on.

What are your typical lead times for EU and US buyers?

Standard grades ship 2–4 weeks from PO confirmation. Add 5–10 days sea freight to European destinations and 20–25 days to US East Coast under normal conditions. Custom grades or specialty packaging may extend production time.

Can you handle small trial orders before volume commitment?

Yes. We support new customers with sample lots and small trial orders — typically 1–5 tonnes — before ramping to volume. Contact our quote desk to arrange a sample.

What documentation do you provide for EU and US customs clearance?

For EU shipments we provide A.TR movement certificate to support duty-free entry under the EU-Turkey Customs Union. For US shipments we provide certificate of origin and any HS-code-specific documentation required. Discuss requirements with our export desk.
